Board Meeting Synopsis–10/2019

CALL TO ORDER 
Acting Chair Geoff Sargent called the meeting to order at 10:10 am on Sunday October 20 at the CBA Fall Campout, Lodi Grape Festival & Harvest Fairgrounds, 413 E. Lockeford St., Lodi, CA. 
 
ROLL CALL 
Board Members Present:  Patrick Campbell, David Gooding, Mark Hogan, Chuck Hurd, Steve Ladonga, Pete Ludé, Larry Phegley, Geoffrey Sargent  
Board Members Absent:   Brandon Godman, Karen Celia Heil, Kara Kundert 
Officers, Coordinators and Members Present:  Darby Brandli, Roy Brogle, Mikki Feeney, Ted Kuster, Deb Livermore, Josh Micheals, Hideaki Mizuno, Carl Pagter, Frank Solivan, Lani Way. Secretary Colleen Hogan participated by phone. 
 
APPROVAL OF ELECTION RESULTS AND NEW BOARD CHAIR 
The Board election results were approved as announced at the Annual Membership Meeting on Saturday October 19, 2019. Geoff Sargent was reappointed as Board Chair. 
 
SETTING OF THE AGENDA 
The agenda was approved with 3 changes.  
 
APPROVAL OF THE SEPTEMBER BOARD MEETING MINUTES 
The minutes of the September 15, 2019 meeting were approved as written. 
 
PERSONS DESIRING TO ADDRESS THE BOARD ON UNAGENDIZED ITEMS 
–Campout Coordinator Deb Livermore gave a brief report on the Fall Campout. 
–Frank Solovan, Ambassador at Large, asked about getting business cards with the new logo. 
–Ted Kuster announced that he plans to continue as State Activities VP. He asked the Board to approve three new Area Activities VPs: 
   1.Christine Wilhoyte – Butte/Tehama area (replacing Lucy Smith) 
   2.Dave Clark – Grass Valley (replacing Kim Smith) 
   3.Hideaki Mizuno – San Francisco (replacing Ted Kuster) 
 
OLD BUSINESS 
Sales Force status/future: 
Ted Kuster reported on he continues to work on the Sales Force transition and plans to have a presentation ready for the Board at the November meeting. 
 
Email address setup: 
Ted Kuster stated that the californiabluegrass.net email addresses are set up but he still needs to roll them out. 
 
IBMA wrap up: 
IBMA Liaison Lani Way reported on the CBA’s presence at IBMA. There was good attendance at the CBA showcase on Weds. and Thurs. nights. Bands also played at the CBA tradeshow booth during the day. There was a lot of traffic at the booth with many visitors who had never heard of the CBA, so we were able to reach an entirely different audience. There was concern expressed that the hospitality aspect was missing without a suite. It was explained that the hotel suite has become cost-prohibitive and the hotel itself imposed restrictions that made it extremely difficult to hold the showcase in a suite. Besides financial and logistical concerns, the suite has become unmanageable. Lani was asked to head up an IBMA subcommittee and come back to the Board with a proposal for 2020. Lani’s title was changed to IBMA Coordinator. Pete Ludé as appointed IBMA Liaison to the Board. 
 
Great 48 update: 
Chuck Hurd gave an update on behalf of Jack Pierce, Great 48 Committee Chair: 
–The Marriott Hotel room block for the Great 48 is fully booked, currently 618 room nights that will be credited to the CBA.  
–The hotel will start a wait list once the entire hotel is booked. Great 48 attendees are being referred to the Best Western Hill House across the street. 
–The Old Pals and Central Valley Boys will perform at the Friday night concert with doors opening at 6pm, show starting at 7pm. 
–Advertising will start in the local Bakersfield newspaper in November and December. Jack is currently working on getting a spot on the local TV station. 
–Flyers are currently under construction and will be distributed around Bakersfield. 
–The Committee is currently seeking sponsors. 
–Showcase bands will perform in the Marriott ballroom from 10pm-midnight on Friday and Saturday nights with each band filling a 30-minute slot. There are two slots left. 
–Jack is waiting to hear back about the Thursday night showcase bands opening the festivities in the Presidential Suite. 
–The Committee plans to have a full schedule of events finalized by December and printed in the Breakdown. 
 
Update on California Showcase Selection Process: 
This item was tabled. Discussion of the Vern’s Stage Policy and the California Showcase Selection process will occur at the next meeting.  
 
NEW BUSINESS 
FDF website management: 
Geoff Sargent reported that setup of the new FDF website is expected to begin soon. The current FDF website went down on October 1st. 
 
Adoption of the new FDF electric power policy: 
Festival Director Mark Hogan read his proposed language for the new FDF power policy that was discussed in depth at the July 2019 meeting. This will be published on the CBA website and in the Bluegrass Breakdown. It applies to approximately 40 campsites with electrical hookups that have been managed by the Fairgrounds but paid for by the CBA. The new policy will require people camped in those sites to pay the CBA for their electricity. 
 
2019/20 Appointments: 
The 2019/2020 appointment of Officers, Area Activities VPs, Year-Round Positions and Father’s Day Festival positions were discussed and approved.

REPORTS 
Executive Committee Report: 
The Executive Committee has asked Treasurer Val Cornejo to take over coordination of the CBA’s liability insurance.  
 
Membership Report: 
Membership Coordinator Larry Phegley reported that that membership was a2770 as of Oct. 1st. The membership number remains fairly stable. 
 
Treasurer’s Report: 
Treasurer Valerie Cornejo was not present but sent the financial reports prior to the meeting. 
 
Youth Program Report: 
Youth Program Coordinator Darby Brandli had nothing to report in this area. 
 
Area Activities VP Reports: 
Mark Hogan (North Bay) – The Board approved Mark’s request to co-sponsor the Lonesome Ace String Band at Arlene Francis Center in Santa Rosa on January 22, 2020. 
 
President’s Report: 
Darby Brandli had nothing additional to report. 
 
Chairman’s Report: 
Geoff Sargent had nothing additional to report.
