Board Meeting Minutes Synopsis 2014-03

CALL TO ORDER
Tim Edes, Chairman of the Board, called the meeting to order at 11:05 am at the Lagunitas Brewery, 1280 North McDowell Boulevard, Petaluma, CA 94954

SETTING OF THE AGENDA
The Board approved the meeting agenda with five additions.

APPROVAL OF THE FEBRUARY 2014 BOARD MEETING MINUTES
The Board approved the February minutes as written.

PERSONS DESIRING TO ADDRESS THE BOARD ON UNAGENDIZED ITEMS
None

OLD BUSINESS
2014 CBA Budget Discussion:
Montie Elston sent out the detailed 2013 P&L as the first step in the budgeting process.

Statewide Area Activities VP:
Marcos Alvira has agreed to take the position temporarily. David Brace will coordinate the campouts.

Campouts Update:
The Spring Campout is set for Turlock. Some of the fairground fees have increased but these will not be passed on to campers. The BBQ vendor can’t make it this year so David is working on other arrangements for the dinner. The winners of the membership drive will be awarded their jackets at the dinner. David is also working on securing the location for the Fall Campout, which will likely be in Lodi.

Modesto Concert Report:
David Brace reported that the concert did well. He will have the financial report at the next meeting.

T-shirts on Demand:
Daniel Routh sent David Brace a link to their website, which is now up and running. Tim requested that he send him a written proposal.

NEW BUSINESS
Kings River Bluegrass Festival:
Stan Allen sent an email stating that he thought it in the best interest of the CBA to cancel the Kings River Festival in 2014 since it lost money for several years. The email will be posted on the CBA website and published in the Breakdown.

Old Time Campout:
Steve Goldfield received word that the Lake Sonoma campground may close due to budget cuts. Steve is looking for other sites in case Lake Sonoma doesn’t come through.

Father’s Day Festival:
Acknowledging FDF volunteers
The Board discussed alternatives to the FDF Volunteer Dinner, since many volunteers cannot attend on a Wednesday night. It was determined that we will provide volunteers with a special t-shirt.

FDF Contracts:
George Rellis’s contract has been returned. There will be overnight security guards instead of stage sleepers this year. David Brace is working on getting alternate bids for the cleaning contract.

Possible RV Show:
The board discussed the possibility of an RV show at the back of the stage area.

Stage Scrims:
Montie is the contact person for producing the scrims, but we need a pricing scheme and contact person for advertising. Montie will talk to Lisa Burns about this.

REPORTS
Executive Committee Report:
•The Executive Committee approved giving away (2) FDF tickets at an event that Chuck Poling is hosting in San Francisco.
•The committee is still working on the definition of sponsorship versus advertisers. A sponsor gives money without purchasing advertising.
•They are discussing with PG&E the possibility of a monitory sponsorship as well as volunteer team to help out at FDF.
•The Exec. Committee continues to look for someone to handle the ice booth at FDF.
•They continue to search for an IBMA Coordinator.
•They addressed the idea of guerrilla stages and came up with the general agreement that these stages will not be official, although they can occur in peoples’ camps.
•Darby is pursuing an opportunity for the CBA to have a presence at the Far West Music Festival in October.

Membership Report:
Current membership is 2,499 members, which is slightly higher than last year at this time.

Treasurer’s Report:
Montie Elston handed out the Balance Sheet as of March 7, 2014. He is looking at some of the CBA’s investment accounts. The taxes should be filed by March 12th.

Music Camp Report:
Geoff Sargent reported that 126 people have registered for Music Camp so far, which is over half the capacity. No update on finding a location for a winter music camp site for 2015.

Area Activities VP Report:
Mark Hogan (North Bay Coast) – The Sonoma County Bluegrass & Folk Festival yesterday was a success. Mark is working now on the Cloverdale Old Time Fiddle Festival to be held April 5th in Cloverdale.

President’s Report:
Darby Brandli was not present at the meeting.

Chairman’s Report:
Tim Edes reported that the Night at the Grange concert went really well. His main concern right now is finding someone to replace Larry Kuhn as IBMA Liaison. Carl Pagter will consider doing it next year with Larry Kuhn’s help but ultimately we need to find a person or team to handle it. It was suggested that we look at splitting the job up based on the job description that Larry put together.
