Board Meeting Minutes Synopsis 2018-09

CALL TO ORDER 
Chair Geoff Sargent called the meeting to order at 10:00 AM on Saturday September 15, 2018 at the home of Darby and Bruno Brandli, 2106 9th Avenue, Oakland, CA. 
 
ROLL CALL 
Board Members Present:  Yennie Brecheisen, Bruce Campbell, Mikki Feeney, Jessica Furui, Brandon Godman, Mark Hogan, Chuck Hurd, Larry Phegley, Geoffrey Sargent.  
Board Members Absent: Dave Gooding  
Officers, Coordinators and Members Present:  Valerie Cornejo, Colleen Hogan, Carl Pagter 
 
SETTING OF THE AGENDA 
The agenda was approved with four additions. 
 
APPROVAL OF BOARD MEETING MINUTES 
The minutes of the July 15, 2018 were approved as written. 
 
PERSONS DESIRING TO ADDRESS THE BOARD ON UNAGENDIZED ITEMS 
None 
 
OLD BUSINESS 
Sonoma County Bluegrass & Folk Festival: 
The Board approved the SCB&FF budget for 2019 as presented by Director Mark Hogan.  
 
California State Fiddle Contest/Spring Campout: 
Mark Hogan announced that, at their August 2018 meeting, the California State Old Time Fiddlers’ Board approved moving the State Fiddle Championship from Oroville to Lodi to coincide with the CBA Spring Campout in 2019. This will be an independent operation run by their own volunteers that CBA members will be welcome to attend.  
 
2019 Coordinators: 
The Board discussed some of the high-priority volunteer positions to fill: Father’s Day Festival Director, Front Gate Coordinator, Mercantile and Raffle Coordinator. Bruce Campbell volunteered to be the new Raffle Coordinator. 
 
NEW BUSINESS 
Treasurer’s move to Idaho: 
Valerie Cornejo relocated to Idaho but volunteered to continue in her role until the Board finds someone to replace her. She will attend most meetings electronically. 
 
FDF Retrospective: 
The Board discussed key takeaways and follow-up actions from 57 pages of reports submitted by FDF Coordinators. 
 
Nevada County Fairgrounds Meeting:  
President Darby Brandli announced that there will be a meeting with other festival producers and the Nevada County Fairgrounds in November to discuss common issues and concerns. 
 
2018 FDF Ticket Transfer: 
The Board authorized a 2018 ticket transfer to the 2019 festival due to a serious health issue. While there is a “no returns” policy for the festival, this type of transfer has been authorized in the past on a case-by-case basis. 
 
Raley’s Corporate Sponsorship: 
Raley’s Grass Valley has agreed to provide bottled water for the festival next year. 
 
CBA Permanent Storage: 
The Board discussed the possibility of investing in permanent, centralized storage for CBA records. Salesforce has a document archive so much of this can be stored electronically in the future. 
 
REPORTS 
Executive Committee: 
The ExCom took four actions between meetings: 
–Approved a cost of $200 for IBMA Pride sound 
–Approved subletting a building to CSOTFA at the CBA Spring campout for the State Fiddle Contest 
–Authorized two FDF tickets for raffle for Grass Valley Habitat for Humanity 
–Authorized payment for two extra campsites at the Old Time Campout to help solve a curfew issue 
 
Membership: 
Current membership is 2,620. SalesForce will have an auto-renew feature and will generate renewal reminders.  
 
Treasurer: 
Valerie Cornejo went over the financial reports handed out at the meeting and answered questions. 
 
Committee Reports: 
5 Year Committee – Nothing new to report 
Shade at Vern’s Stage – Nothing to report 
Breakdown Committee – Nothing new to report 
Tech Committee – The committee has not yet begun an audit of the TIX system. 
 
Youth Program: 
Darby Brandli reported that fundraising for the next year will begin at the Fall Campout. The committee is looking at putting together a 2nd edition of the songbook. 
 
Pride Report: 
Bluegrass Pride will have a showcase on Friday night at IBMA sponsored in part by Eartrumpet Labs.  The expense of the ballroom will be split with Handsome Ladies.   
 
Area Activities VP’s: 
Mark Hogan (North Bay) – Mark reported that the California Showcase Selection Committee is meeting tomorrow, September 16, at Patrick Campbell’s home in Bloomfield, CA. Mark will assist since this is Patrick’s first time managing the process. 
 
Larry Phegley (South Bay/Monterey Bay) – Windy Hill recently played at Otter Opry. 
 
Bruce Campbell (Contra Costa) – Bruce reported that Roxx on Main is closing so Martinez is losing a bluegrass venue, but bluegrass open mic in Martinez is going well. 
 
President’s Report: 
No additional items to report. 
 
Chair’s Report: 
Geoff Sargent congratulated everyone on a productive FDF Retrospective session.
