Board Meeting Minutes Synopsis 2019-05

CALL TO ORDER 
Chair Geoff Sargent called the meeting to order at 11:05 am on Saturday May 25 at the KVMR Studio, 120 Bridge St., Nevada City, CA 95959.   
 
ROLL CALL 
Board Members Present:  Patrick Campbell, Mark Hogan, Chuck Hurd, Kara Kundert, Steve Ladonga, Geoffrey Sargent 
Board Members Absent: Bruce Campbell, Brandon Godman, Dave Gooding, Larry Phegley 
Officers, Coordinators and Members Present:  Valerie Cornejo and Colleen Hogan. Lani Way, Darby Brandli and Theresa Gooding participated by phone for the first item. Montie Elston participated through the Father’s Day Festival update.  
 
SETTING OF THE AGENDA 
The agenda was approved with two additions. 
 
APPROVAL OF THE APRIL BOARD MEETING MINUTES 
The April 13, 2019 meeting minutes were approved as written. 
 
PERSONS DESIRING TO ADDRESS THE BOARD ON UNAGENDIZED ITEMS 
None. 
 
OLD BUSINESS 
IBMA: 
IBMA Liaison Lani Way presented different options for the CBA’s presence at IBMA. She was asked to get more information about a few key points and come back to a committee in June to make final decisions. 
 
Father’s Day Festival retro/prospective/details: 
–Festival Director Montie Elston gave an update on how things were shaping up for the festival. One of the biggest concerns is that part of the electric-only camping area is currently flooded.  
–The Board briefly reviewed the 2018 Festival Retrospective Reports and agreed to go through the same process this year for gathering input from FDF Coordinators.  
 
Board of Directors Job Description: 
The Board came to consensus on the wording of their job description. The Chair will write an article summarizing the duties and benefits of serving on the board for the July Bluegrass Breakdown. The formal job description will be posted on the CBA website and given to each new Board member. 
 
Budget Update and Issues: 
Treasurer Valerie Cornejo reported that the budget is consistent with projections; however, due to timing issues, income and expenses fluctuate from month-to-month. Administrative expenses are consistent with last year. Revenues from membership dues, FDF, Music Camp and the Spring Campout were up. Having the California State Old Time Fiddle Contest at the CBA Campout helped boost revenue for that event. 
 
Music Camp Update and Budget: 
There are 205 students registered for Music Camp so far and revenue is up. 
 
Fire Relief Disbursement Budget: 
Instrument reimbursement payments to fire victims are starting to go out. 
 
NEW BUSINESS 
2019 Spring Campout/State Fiddle Contest: 
Mark Hogan reported that the California State Old Time Fiddlers’ Association (CSOTFA) felt positive about holding the State Fiddle Championship during the CBA Spring Campout and hope to do so again next year.   
 
Date for 2020 Spring Campout: 
Mark suggested that the CBA try to avoid the weekend of the Walker Creek Music Camp (April 13-19) for the Spring Campout in 2020. The Board discussed either the first or fourth week of April as options for the campout if the Lodi Fairgrounds is available.  
 
2020 Great 48 Band Options: 
The Board agreed that the priority of the event is jamming, and they do not wish to assume a high financial risk for the Friday night concert. The Great 48 Committee will be asked to stay within the more modest budget that was proposed for the Friday night concert.  
 
Black Banjo Reclamation Project: 
The Board agreed to the concept of supporting the Black Banjo Reclamation Project pending more information. Kara Kundert will ask the organizer for details and a formal proposal.   
 
Great 48 Special Edition Breakdown: 
The Breakdown Committee presented a preliminary idea of producing a Special Edition Breakdown in time for the Great 48 2020 which will recognize founding members, outline some of the CBA’s key projects, etc. Many organizations do this in the form of an annual report. The Committee will present more information at a future meeting. 
 
REPORTS 
Executive Committee Report: 
The Executive Committee authorized some expenses for FDF 2019 between meetings due to the time-sensitive nature of the purchases.  
 
Membership Report: 
The current membership number is 2887 as of May 1st. Membership Coordinator Larry Phegley was acknowledged for the time he spends following up on expired memberships. 
 
Treasurer’s Report: 
The Treasurer reported that the July Bluegrass Breakdown will include a brief statement of the CBA’s financial condition.  
 
Youth Program Report: 
Program Director Darby Brandli was not present at the meeting. 
 
Area Activities VP Reports: 
Mark Hogan (North Bay) – The final numbers for the Sonoma County Bluegrass & Folk Festival are in. The festival turned a small profit despite the last-minute venue change due to flooding. 
 
President’s Report: 
No report. 
 
Chair’s Report: 
Geoff Sargent had nothing additional to report. 
 
CONFIRM TIME AND PLACE FOR THE NEXT BOARD MEETING 
The next meeting was confirmed for Sunday July 14 at 10am with the location to be determined.
